When applying for an apartment or townhome at Middletown Trace, all prospective APPLICANTS and OCCUPANTS who are 18 years or older must submit an application and adhere to the following procedures:

1. A non-refundable application fee of $50 per applicant/co-signer is required and $25 for each additional applicant.
Application fees may be paid by credit/debit card and/or money order only. Personal checks or cash will not be accepted.

A $250 deposit for a deluxe style unit or $100 deposit for a traditional style unit is due within two days (48 hours) of application approval. This deposit must be paid with a debit or credit card only and will be applied towards your security deposit upon move-in. Deposit will be non-refundable if you should cancel after 48 hours of submission. If an applicant should change the date of move-in after deposit and township inspection fees have been submitted and lease paperwork has been prepared a $100 administrative fee will be charged for the preparation of new paperwork.

Middletown Township requires an apartment/townhome inspection (Certificate of Occupancy) prior to move-in date. A fee of $75 (must be paid with a debit or credit card only) is the responsibility of the leaseholder. Inspection fee must be paid within two days (48 hours) and included with the payment of the deposit mentioned above. If an applicant should change the date of move-in after deposit and township inspection fees have been submitted and lease paperwork has been prepared a $100 administrative fee will be charged for the preparation of new paperwork.

2. Two forms of identification are required when completing applications. (If applicant does not provide these documents at time of application they must be submitted within 48 hours of approval or application may be subject to cancellation).

a) Valid Social Security Number/Card (no exceptions)

If Social Security Card indicates “Valid for work only with INS/DHS authorization” on it, additional documentation will be required. Please see attached.

  1. b) If applicant does not have a valid Social Security Number/Card, a valid Federal Tax I.D./Card may be accepted. (The tax I.D. number should begin with the number “9”).
  1. c) Valid Picture I.D. (i.e. Driver’s License, State I.D. or Passport Visa)

To process an application, the following will be required:

  1. Head of household/Co-signer must be eighteen (18) years or older.
  2. Applicants/Co-signers must be gainfully employed. *
  3. Two (2) most recent pay stubs must be submitted and/or official offer letter or contract from current employer.
  4. A thorough credit investigation will be conducted through Weimark. Applicant approval and security deposit amount is based on specific criteria. Criteria information is available for review.

Lease signing is scheduled once the approval of application is completed. Lease signing is conducted either the day of the move in or just prior. We require pro-rated and/or first month’s rent, amenity fee, pet fee if applicable and security deposit at time of lease signing. Renters Insurance is required to be obtained by each resident as stated in paragraph 13 of the lease agreement. Proof of renter’s insurance (declaration page) must be submitted on or prior to move in date. A combined single limit of $300,000 for property damage and personal injury is required and must be stated on proof submitted.

At lease signing you will need to provide proof of renters insurance that complies with the requirements in the lease.

CRITERIAFORAPPLICANT / CO-SIGNER APPROVAL AND DETERMINING SECURITY DEPOSITS

Applicant (s) approval is based on:

  1. 1. Credit (noted below)
  2. 2. Criminal Background Check- No Criminal Record. (Excluding minor traffic violations). If an applicant’s background history reflects only a first time DUI offense, it will be disregarded after a full three (3) year period.
  1. 3. Eviction – No evictions by previous landlords.
  2. 4. Unsatisfactory Prior Tenant Information – Applicant who did not comply with rules/regulations of prior community, police activity, left home in unacceptable condition, did not give Landlord proper notice to vacate, etc.

(Unsatisfactory tenant, rental and/or mortgage history will result in the denial of application for all prospective leaseholders, occupants and co-signers. If current or previous Landlord(s) refuse to verify rental/tenant history, we may ask for additional information from applicant(s) i.e. 6 months’ worth of cancelled rental checks or applicant may be required to pay 1-month security deposit).

5. Employment- Applicant must be gainfully employed and be able to prove qualified income. Reported income may be used only. Applicants receiving cash or letters from employers where applicants receive cash may not be used.

  1. 6. Income – Lease holder’s gross monthly salary must be equal two (2Yz) times the required amount of rent. (Where there are one or more “lease holders” listed on the lease, the total gross monthly incomes combined will be used).*

* Child support may be used as income when monthly amount is court ordered or proof of twelve (12) consecutive monthly deposits of a consistent monthly amount is given.

* Retired or disabled applicants may prove income from retirement pension funds, disability, investment/banking interest and social security.

* Self-employed applicants must prove income through most current (form 1040) income tax return.

OPTIONS WHEN APPLICANT DOES NOT MEET INCOME REQUIREMENT:

1) *Co-signers will be considered only when the applicant{s) does not meet the income requirements; however, a credit check & criminal check must be processed on the applicant regardless. Co-signers must meet the requirements above, and the rent may not exceed 35% of their income. Co-signers must have established residency in the states of Pennsylvania and/or New jersey and if co-signer(s) is/are married both spouses must co-sign.

2) Six months prepaid lease with one month’s security deposit.

A credit check will be conducted for each adult applicant Lease holder, occupant and co-signers) who is/are 18 years of age or older. Middletown Trace Apartments utilizes the services of Weimark to obtain credit and information profiles on applicants as pa1t of the approval process.

Information relating to public records, NSF (insufficient funds) check information, history of payment practice, outstanding loans, judgements, bankruptcies, foreclosures, apartment address cross-referencing, current/prior rental histories, social security number verification, etc. are supplied by Weimark. Weimark obtains their information from the following source: Experian and other sources. Applicants are advised to contact this agency in the event a dispute arises regarding negative findings.

LEASE TERMS ARE SUBJECT TO AVAILABILITY

WAITING LIST PROCEDURE

An applicant may be placed on a waiting list if an apartment type/style is unavailable at time application is submitted however, the applicant is responsible for paying an application fee which is non-refundable. If there is an existing waiting list, the applicant will be placed in the date order in which the application was received. Being placed on a waiting list is not a guarantee that a unit of interest will be available when needed. If applicant is on a waiting list for more than 90 days, it will be necessary for the application to be reprocessed. The reason for this is that an applicant’s credit status may change during the waiting period (such as a filing of bankruptcy, judgment, collection or change in Landlord/Tenant/Mortgage history). If an applicant is placed on the waiting list he/she/they will be given a 24 hour response time only when an available unit is offered to them. It is the applicant’s responsibility to provide all phone numbers as to where they can be reached. If a response is not received within the given 24-hour period the applicant will be moved to the end of the list and the unit will be offered to the next applicant in line.

THE FOLLOWING SECURITY DEPOSIT AMOUNTS HAVE BEEN DETERMINED BY MIDDLETOWN TRACE APARTMENTS AND ARE BASED ON WEIMARKS SCORING SYSTEM.

SATISFACTORY OR HIGHER CREDIT RATING – $500 Security Deposit. For (1) year lease term only.

FAIR CREDIT RATING- 1 Month Security Deposit.

POOR CREDIT RATING- Unfortunately, applicants with a poor credit rating would not qualify.

BANKRUPTCY – only applicants with discharged bankruptcy (and can prove discharge with court papers) may apply for future residency. Applicants with discharged bankruptcy must have all current accounts in good standing.

If discharged bankruptcy is more than 7 years old and credit has been satisfactory since that time the Security Deposit may only be as low as $500 or if the credit is less than satisfactory up to 1 month.

NO CREDIT/RENTAL HISTORY ESTABLISHED-APPLICANT MAY BE OFFERED A ONE YEAR LEASE TERM ALONG WITH A ONE (1) MONTH SECURITY DEPOSIT.

CRITERIA ON SECURITY DEPOSIT WHEN THERE ARE TWO OR MORE APPLICANTS/CO-SIGNERS

When one applicant shows less of a credit rating than “co-applicant”, security deposit will be based on lesser rating.

Otherwise, applicant with good or satisfactory credit rating may be leaseholder with co-applicant (showing unsatisfactory or poor credit rating) listed as occupant providing they meet criteria on their own.

Applicants requiring a Co-signer will be required to pay a security deposit equaling one (1) months’ rent.
